Case study

Actic

Actic is a leading gym chain with over 100 locations across Sweden and Norway. The company offers a wide range of services, from individual and group workouts in both indoor and outdoor settings to swimming lessons. The pandemic also accelerated the development of an app, allowing members to access more than 280 online workouts.

About cooperation

In 2020, Actic approached EFF to explore the possibility of outsourcing their Accounts Payable (AP) processes. This initiative stemmed from challenges in recruiting staff and a desire to streamline workflows and reduce costs. The initial priority was to gradually integrate EFF into the AP processes across all Group companies. Despite the challenges posed by the pandemic, the entire migration process was successfully conducted remotely.

Following the successful implementation of the AP processes, Actic expanded EFF’s role to encompass full accounting services for all of its companies. Shortly after completing the full accounting takeover, we embarked on another significant project: the implementation of an updated ERP system alongside the introduction of a new Medius workflow. This period was particularly rewarding for us, as it provided an opportunity to apply the skills and experience we’ve developed through years of collaboration with other clients.

Results and further cooperation

By optimizing Actic’s accounting processes, we effectively reduced payroll expenses through strategic rightsizing.

Throughout our partnership, we have also successfully navigated several complex challenges, including managing the accounting aspects of a company sale, a merger, and the purchase and sale of a gym location. We have proposed and implemented various tools to support efficient invoice circulation, financial liquidity analysis, and detailed profit and loss account management.

Our services extend beyond accounts payable and general ledger processes. We actively monitor financial data and promptly communicate relevant insights to the client. Additionally, we work closely with the customer service department to ensure that sales of services and goods from all gym locations are accurately recorded in the books.

Actic has been working with EFF for over three years now, and I can highly recommend EFF as a service provider.
